Koyo Bearings Supplier Checklist: What a Quality Inspector Checks Before the Bid Is Approved

Every quarter I review about 200 unique bearing line items before they ship. In Q1 2024, we rejected 3.9% of first deliveries. The reasons were not what you'd expect: wrong suffix, a stale catalog PDF, missing lot traceability. This checklist is what I use when I evaluate a Koyo bearings supplier. It is for people who are tired of impressive quotations and disappointing goods. There are six steps. You can use them for a one-off order or an annual contract.

Step 1: Start with the Current Koyo Bearings Catalog PDF

A bearing without that suffix is not the same product. This is a classic communication failure, and it happens more often than it should in the B2B world because we assume the other person reads a part number the same way.

The fix is simple: write the full part number and suffix on the purchase order. On the inspection document, list the exact description from the Koyo bearings catalog PDF. If the supplier cannot quote the same table number and page, have them confirm in writing.

Step 4: Check the Whole Drivetrain, Including Roller Chain Links and Linear Bearing Blocks

Most industrial orders are not just one bearing. The same RFQ often includes roller chain links for a conveyor and a linear bearing block for a guide rail. That is convenient, but each component behaves by different rules.

For roller chain links, I verify pitch, roller width, and tensile strength. A chain link that fits is not enough; tensile strength determines whether it survives in a loaded drive. For a linear bearing block, I verify shaft diameter, housing height, and dynamic load rating. One supplier bundled these components into a 'drivetrain kit' without checking whether the chain pitch matched the sprocket spec. The parts arrived, but the assembled system stalled. The supplier pointed to the bearing print and said it was exactly what we ordered—which was true, but the overall solution was wrong.

So treat each product category as a separate inspection line. Do not let the word 'bearings' cover components that have their own datasheets.

Step 5: Require Lot Traceability in the RFQ

Most quality problems are limited to one production lot. If the supplier cannot provide a lot number for each box, they cannot isolate a bad batch. I still kick myself for not requiring lot traceability in a 2023 contract. When a sealed bearing failed early, we had a stock of parts from several delivery batches and no way to determine which one was affected. The investigation took weeks, and the replacement process took even longer because every box felt suspect.

Add this to the RFQ, not after the PO: 'Each individual box must show a lot number or date code traceable to the manufacturer's QC records.' If a supplier says that is impossible, ask why. It usually is not.

Step 6: Inspect Delivery Condition and Compare the Certificate to ISO 492

Before parts go to stock, check the packaging for dents, rust, or signs of moisture. For open bearings, look at the shields and the grease if you can do so without damaging the component. Then compare the inspection certificate to the tolerance class stated in the Koyo bearings catalog PDF. I use ISO 492 as the baseline for radial bearings. The certificate should include bore deviation, outer diameter deviation, and maybe radial runout.

Everything I'd read about bearing precision said to focus on bore deviation. In practice, the problems I have found are often in radial clearance or out-of-round raceways. The bore can measure fine, and the bearing still runs noisy because the internal geometry is off. That is why the certificate matters more than a tag on the box.

Notes and Common Mistakes

The mistakes that show up most in rejected deliveries:

  • Assuming the PDF catalog is the latest version.
  • Mixing bearing brands on the same shaft without checking radial clearance and runout.
  • Waiting until after delivery failure to ask for documentation.

I have mixed feelings about cross-reference guides. On one hand, they are useful for finding a Koyo number from a competitor's part number. On the other, they create a false sense of interchangeability. A cross-reference does not tell you about internal clearance, cage material, or shield design. Check the actual Koyo bearing designation before you sign.

The fundamentals have not changed: bearings need the right load, lubrication, alignment, and contamination control. What changed is how accessible supporting documentation is. In 2025, there is no excuse for a supplier who cannot share the current Koyo bearings catalog PDF, lot numbers, and an ISO 492 certificate. The catalog might have moved from printed binder to digital file, but the verification work is still on the buyer.

I am not going to give you a price list, because bearing pricing moves with raw material and freight costs. As of January 2025, the better way to compare suppliers is to ask for a quote with a 30-day price validity and delivery incoterms. The cheapest quote is not the strongest predictor of quality. The one that is complete, traceable, and current usually is.
